Short-Notice Coverage Is Still Fully Screened Coverage
It’s tempting, when a substitute is needed by tomorrow morning, to assume speed and screening are in tension. They aren’t, in our model. Every substitute instructional aide we send has already completed background and reference checks before this request ever came in — coverage is fast because our bench is pre-vetted, not because we skip a step under time pressure.

How Substitute Coverage Differs From a Long-Term Placement
A long-term placement is built around continuity — the same aide working with the same student over a semester or school year, learning the specifics of one IEP in depth. Substitute coverage solves a different problem: keeping the classroom in compliance for a defined absence without pulling a long-term aide off their regular assignment or leaving the position unfilled. The distinction matters for how each is staffed:
Substitute Coverage
Fills a specific absence — a sick day, a planned leave, a short medical or personal gap. Coordinated through our 24-hour service center, often on short notice, with a fast handoff so the classroom isn’t left without required support.
Long-Term Placement
Assigns one aide to one student or classroom for an extended period, with deeper onboarding to the specific IEP and ongoing supervision built for the length of the term rather than a single absence.
Districts often use both from the same account: a long-term placement for the assigned aide’s regular schedule, and substitute coverage as the safety net whenever that schedule breaks.

We don’t run a separate, lighter-weight process for short coverage. Every substitute aide placement still runs through Screen, Train, Supervise, Verify — the same four-part standard behind every Instructional Aide placement we make. A single covered day still gets a named point of contact if an issue comes up, and still feeds the same attendance and performance data that rolls into our Quarterly Performance Review Program. For a district administrator, that means an absence never becomes the weak link in your program’s compliance record — the aide standing in the classroom today was held to the identical bar as the aide who will be there for the rest of the year.
Requesting Substitute Coverage

For planned absences — leave, jury duty, extended medical appointments — earlier notice gives us more room to match on classroom fit, but same-day and next-day requests are what the 24-hour center exists for.
